The Workplace and People Operations Manager plays a key role as a first point of contact for guests and employees at Common Sense. They will play a key role in positively affecting workplace culture and office efficiency. The Workplace Operations Manager will frequently work and collaborate with staff across the entire organization. They also support some of the key functions of the People Ops. team.

EMPLOYMENT TYPE: Full Time, Exempt

SALARY RANGE: $64,000-$88,000

REPORTS TO: Senior Director of People Operations

LOCATIONSan Francisco, California

WHAT YOU'LL DO: 

  • Lead and implement strategies that support a healthy, supportive, and inclusive workplace experience.
  • Support and oversee some of the other functions of the team including but not limited to: payroll, onboarding, offboarding, recruitment, and other tasks as assigned.
  • Manage and coordinate all office needs from site security, building management, equipment general maintenance, incoming and outgoing deliveries and repairs. 
  • Work with site security to ensure visitors have a smooth start to their visit, including managing the visitor registration process via site security’s web portal.
  • Coordinate with building management  to:
    • Manage maintenance and repair requests via the tenant portal
    • Coordinate annual maintenance of fire extinguishers, certificates of insurance, and other building and unit maintenance needs
  • Manage inventory of supplies for all areas of office to ensure enough stock available at all times. 
  • Plan and coordinate catering needs and other supplies for meetings, staff events, and organizational events(weekly in-office happy hour, staff recognition gatherings, annual holiday party, logistics for annual staff retreat, etc.) as needed.
  • Ensure the office is always “Show time ready” 
  • Assist with coordination of offsite storage needs
  • Promote healthy collaboration among offices and remote employees.
  • Coordinate reception coverage and provide backup as needed, including but not limited to  taking care of all calls and voicemail,  ensure visitors are having a positive experience while on premises.  
  • Work with staff and building management to address any safety, security, or maintenance issues.
  • Build preferred vendor relationships and collaborate with the front office coordinator to purchase office supplies, furniture, equipment, and catering in accordance with Common Sense's purchasing policies and budget guidelines.
  • Respond to and follow up on staff suggestions.

WHAT YOU BRING:

  • Bachelor Degree AND/OR 2-5 years relevant work experience including HR related functions.
  • Excellent communication skills both verbal and written
  • Ability to prioritize multiple functions and tasks while managing work time
  • Experience with  Google Docs, Microsoft Word, Excel, and calendaring 
  • Experience creating and sustaining relationships with external and internal staff and clients
  • Ability to effectively and professionally interact with staff at levels of the organization and external visitors and clients
