We are seeking an enthusiastic and proactive Workplace Experience Coordinator to play a key employee and guest focused role at our San Francisco headquarters. The Workplace Experience Coordinator is an in-person position that is responsible for ensuring that our San Francisco office is a welcoming, vibrant, and supportive workplace, and that all related administrative and office support tasks are completed efficiently and professionally. This position requires excellent organizational and time management skills, as well as a commitment to continuous improvement and the principles of diversity, equity, and inclusion.

REPORTS TO: Senior Director, People Operations

LOCATION: San Francisco, CA


  • Answer and direct all incoming calls with professionalism and efficiency. Route calls to appropriate staff and maintain the general voicemail box.
  • Greet visitors with hospitality in mind, and ensure that they are connected with who they are visiting in a timely manner.
  • Work with site security to ensure visitors have a smooth start to their visit, including managing the visitor registration process via site security's web portal.
  • Manage key fob and badge inventory, including activation and deactivation for new, existing, and departing employees.
  • Coordinate with building management to:
    • Manage maintenance and repair requests via the tenant portal.
    • Coordinate annual maintenance of fire extinguishers, certificates of insurance, and other building and unit maintenance needs.
    • Manage employee parking
  • Maintain inventory of office supplies, kitchen supplies, and small equipment, and restock when necessary.
  • Coordinate general maintenance of office equipment (e.g., copy machine, postage machine), with IT's support for more complex maintenance and setup.
  • Troubleshoot and coordinate with IT to ensure that on-site technology (ie, Zoom Rooms, server room fans, etc) are in good working order
  • Manage all incoming and outgoing correspondence, including emails, mail, and deliveries (e.g., FedEx, UPS, USPS, various vendors) and assist with filing invoices and other important documentation for the Accounting and Development departments. 
  • Manage schedules and maintain the organization and appearance of conference rooms and community spaces.
  • Purchase food and other supplies for all staff and departmental meetings and events.
  • Assist with coordination of offsite storage needs.
  • Process expense reports and assist with general office administrative support as needed.


  • 1 to 3 years of facilities operations experience or applicable professional experience.
  • Proven track record of providing superior customer service in previous roles.
  • Excellent communication skills, both written and verbal. 
  • Strong computer skills; Google Suite, experience with spreadsheets, calendaring, and online communication tools are required.
  • Ability to prioritize assignments.
  • An eye for improving processes and building systems to support future projects.
  • Fluency in another language is a plus.
